General Overview of Department and Position:

The Associate Vice President and Deputy Director, Academic Programs’ responsibilities include line management of IES’ Program Deans, two academic Centers and two learning management specialists, budgeting, curricular and program development, writing program-related materials, effectively representing these programs to colleges in the IES consortium, and managing the department in the absence of the EVP, budget review and curricular development. The AVP currently supervises the Educational Technology initiative in the department and assists the EVP with the development of new Centers.

Duties:Deputy Director, Academic Programs Department:

• Line management responsibility for IES’ Program Deans; indirect line management responsibility for IES educational Centers
• Decision-making authority for programmatic changes that do not significantly alter the design of the programs
• Review Center staffing decisions and potential university partnership changes and make approval/disapproval recommendations to EVP of Academic Programs
• Regularly update EVP of Academic Programs on day-to-day programmatic changes
• Review analyze and make recommendations to the EVP with respect to Center budgets and expenses
• Collaborate with the EVP on recommendations for Center Director salary adjustments and increases.
• Oversee budgets of Program Deans and serve as manager over Center budgets in close collaboration with the Financial Analyst and other colleagues in Finance and Accounting.
• Assist with Center Director Training.
• Manage the Intercultural Competence initiative.
• Coordinate Center strategic planning.
• Assume the duties of the EVP of Academic Programs in his/her absence
• Promote the rational and planned experimentation and eventual integration of new practices including, but not limited to, technological developments
• Organize the training of Center staff and Academic Programs staff for IT programs
• Publish in the international education field
• Assists members of the department in preparing proposals and making presentations

Program Management for Centers:

• Serve as a Program Dean for two Centers to be assigned depending on the expertise and interests of the candidate.
• Responsible for strategic planning in consultation with Center Directors.
• Communicate with and advise Center Directors and staff regarding expectations re curriculum, special events, student services, students, budgets, enrollment
• Oversees Center budgets prepared by Center Directors
• After review by Program Associate(s), provide final approval of all student transcripts
• Conduct periodic program reviews at each site to ensure highest standards of academic quality as outlined in the IES MAP©
• Review, analyze, and follow-up Center program evaluations and annual reports
• Establish site visits and follow-up by consortium faculty and coordinators (budget permitting)
• With Dean of Students and Center staff, manage student crises/problem situations
• Advise Center staff of most recent IES Chicago policies and coordinate necessary training
• Design and lead familiarization trips
• Conduct Center visits to evaluate best practices and areas for improvement
• Serve as a resource on visa complications
• Implement strategies to improve processes and policies at Centers based on evaluation reports
• Make Center Director hiring and termination decisions
• Advise and coordinate with Directors Center staff hiring and termination decisions
• Advise Center Directors on staffing issues (job descriptions, staffing needs, review of resumes as requested, etc.)
• Receive and review academic appeals/grievances
• Collaborate with Directors on setting Center annual goals
• Evaluate Director’s performance on an annual basis and recommend Director and staff salary increases
• In conjunction with Center Director’s, plan revisions to curriculum, housing options, and field trip options
• Review student course and program evaluations
• Write and/or edit informational pieces re Center changes and new programs
• Coordinate, with Curriculum Committee, approval process of new syllabi
• In conjunction with Center staff and EVP for Marketing, Recruiting and Enrollment Management, develop creative and cost-effective methods to increase enrollment
• Lead Center staff and special task force committees in developing Center programming to meet students’ needs
• Strategize with Marketing and Recruiting to better “position” Centers
• Supervise development of materials to advertise Center programming improvements
• Conduct research on national trends to identify student needs (curricular, extra-curricular)
• Remain informed about competing programs

Program Development:

• In conjunction with Center staff and EVP for Marketing, Recruiting and Enrollment Management, develop creative and cost-effective methods to increase enrollment
• Lead Center staff and special task force committees in developing Center programming to meet students’ needs
• Strategize with Marketing and Recruiting to better “position” Centers
• Supervise development of materials to advertise Center programming improvements
• Conduct research on national trends to identify student needs (curricular, extra-curricular)
• Remain informed about competing programs
• Learning Management system (MOODLE) oversight
• Supervise the development and employment of MOODLE in all IES Abroad programs.
• Coordinate the work of the regional MOODLE experts and consultants working on the Moodle project.
• Work with the MOODLE IT staff, to assist with the effective and creative use of MOODLE by the IES Abroad faculty.

Curricular oversight:

• Review and critique course proposals in their final stage
• Revise protocol for writing syllabi as appropriate and disseminate to Centers
• Monitor the quality of instruction at all IES Centers through
o Regular review, in conjunction with the Program Deans, of the timeliness of the curricula and the relevance of the curricula to the changing IES student body.
o Course revision or new course development
o Review of catalog with respect to academic quality
• Develop and monitor consistent course numbering system for Centers
• Monitor language course designations for the Centers


Budget oversight:

• Serve as budget director for the department
• Review the Center budgets and updates in draft and work with the EVP of Academic Programs to approve them.
• Review and approve the Departmental budgets and updates.

Publications:

• Oversee preparation of orientation and pre-departure materials
• Supervise editorial work of Program Associate(s) on IES publications

Recruiting and Public Relations:

• Maintain strong working relationships with top five feeder schools for each Center
• Conduct campus visits to Member, Associate Member, Special, and At-Large institutions
• Plan and implement seminars for consortium faculty members and for Center personnel
• Network at related conferences
• Participate in association conference panels.

Fundraising:

• Write and submit funding proposals related to areas of specialization such as language program development and the intercultural competence initiative.

Qualifications:Professional Experience & Educational Background Required:

The Associate Vice President and Deputy Director, Academic Programs Department should have a doctoral degree in a relevant administrative field or academic discipline; broad knowledge of U.S. higher education; 5-10 years experience in a supervisory role; proven ability as a team player; excellent interpersonal and communication skills in English. Working knowledge of at least one language taught at an IES Center (Spanish, German etc), and experience living and working abroad would be helpful, but is not required.
